We are looking for an Administrative Affairs Specialist to support a large-scale industrial project and operations, responsible for managing day-to-day administrative activities, ensuring smooth office operations, facility management, and efficient coordination with service providers. The role will also oversee supplier relationships, maintenance, security, housing management, and the preparation and management of administrative contracts, procedures, and forms, while fostering a collaborative and organized work environment.
Key Responsibilities
• Manage day-to-day office operations, ensuring all administrative processes run smoothly.
• Plan, monitor, and coordinate maintenance, repairs, and periodic inspections of facilities and equipment.
• Oversee general services, including stationery, cleaning, security, catering, and shuttle services with service providers.
• Manage fleet operations and cargo processes, ensuring timely and safe transportation.
• Coordinate housing arrangements for project staff, ensuring compliance with company policies.
• Maintain and strengthen relationships with suppliers and service providers.
• Prepare, manage, and follow up on administrative contracts, ensuring compliance with company policies and project requirements.
• Develop, update, and enforce administrative procedures, guidelines, and forms to support operational efficiency.
• Ensure effective office systems, record-keeping, and documentation management.
• Monitor office expenditures and support budget planning for administrative activities.
• Support internal communication, team coordination, and foster a collaborative work culture.
• Assist in organizing meetings, events, and company activities.
• Ensure compliance with health, safety, and environmental requirements in administrative operations.
Qualifications
• Minimum Associate Degree in related fields.
• At least 5 years of experience in general services or administrative roles, preferably in industrial or large-scale projects.
• Fluent in English, both written and spoken.
• Proficiency in MS Office programs (Word, Excel, PowerPoint, Outlook).
• Strong teamwork, team management, and communication skills.
• Ability to manage multiple tasks and prioritize work effectively.
• Experience in facility management, vendor coordination, and office operations.
• Knowledge of fleet management, housing management, and cargo processes is a plus.
• Experience in preparing and managing administrative contracts, procedures, and forms is highly desirable.
